How it works

From your practice system to a number you can act on.

Pulse copies what changes in Open Dental, works out the numbers, and shows them on pages built around the questions a practice actually asks.

The path your data takes

Five stops, and you only ever touch the last one.

  1. 1 · In your office

    Open Dental

Your practice system, exactly as it is today. Nothing about how the team uses it changes.

  2. 2 · In your office

    The Pulse agent

A small program on the same computer. Every few minutes it asks one thing: what changed since last time? It only reads.

  3. 3 · In Pulse

    Your copy of the data

Appointments, procedures, payments, claims and the rest, kept current. Each practice's data is kept separate.

  4. 4 · In Pulse

    The numbers

Production, collections, rates and lists are worked out here, so a new measure never needs anything installed at your office.

  5. 5 · In your browser

    Your dashboard

Thirteen pages, sixteen reports. Every number can be opened to the day, the procedure or the patient behind it.

Changes arrive in 2 to 5 minutes

New and edited records travel on the next cycle. Records deleted in Open Dental are noticed too, and marked as removed.

You can see that it is working

A Data Sync page shows the last sync time, and how many records Pulse holds next to how many Open Dental holds, table by table.

Every number opens up

Click a bar on a daily chart to see that day. Click a patient's name anywhere to see their visits, balance, planned work and contact history.

It remembers how you like to look

Pick a date range once and it follows you from page to page.

Page by page

What each page shows, and what you do with it.

Each one is explained the same way: the question it answers, where the number comes from, and the next step.

Today

Overview

Are we on track this month?

Where it comes from
Completed procedures, payments received and the monthly goals you set, compared with the same stretch before.
What you do next
Open whatever the page flags: behind on goal, old balances, patients not rebooked.

Daily Huddle

What should the team know before the first patient?

Where it comes from
Today's schedule, with each patient's balance, planned treatment and recall status pulled alongside.
What you do next
Confirm the unconfirmed, and talk to the patients who have unscheduled treatment while they are in the chair.

Follow-ups

Who should we call?

Where it comes from
Four lists: recall overdue, treatment planned but not booked, appointments missed and not rebooked, and balances over 60 days.
What you do next
Work the list from the top. Calls logged in your practice system show up as the last contact.

Money

Production

How much dentistry did we do, and what kind?

Where it comes from
Completed procedure fees less adjustments, by day, by provider and by type of work.
What you do next
Click any day to see every procedure behind it.

Revenue and what is owed

What did we collect, and who still owes us?

Where it comes from
Patient payments and insurance payments, plus current balances by age and every claim still waiting.
What you do next
Chase the oldest balances and the claims past 30 days.

Treatment Plans

How much treatment are patients saying yes to?

Where it comes from
Procedures planned in the period and which of them have since been scheduled or completed.
What you do next
Follow up on recent plans before they go cold. Older plans rarely come back on their own.

Goals

What are we aiming for, and are we on pace?

Where it comes from
Monthly goals you type in for production, collections and new patients.
What you do next
See what each remaining working day needs to average to land on goal.

Patients and team

Patient Flow

Are patients arriving, and coming back?

Where it comes from
First visits, completed and missed appointments, and whether each patient has a next visit booked.
What you do next
Rebook the patients who left without a next appointment.

Providers

How is each dentist and hygienist doing?

Where it comes from
Production, visits, chair time, treatment accepted and patients rebooked, per provider.
What you do next
Compare like with like: production per visit and per chair hour.

Comm Log

Is our outreach working?

Where it comes from
Calls, texts and emails logged in your practice system, matched to appointments booked afterwards.
What you do next
See which kinds of contact lead to a booking, and by whom.

Staff Activity

What is the team doing, and is anything unusual?

Where it comes from
Your practice system's own audit trail: bookings, payments, claims, changes and deletions.
What you do next
Review the short list of after-hours work, weekend work and deletions. Owners and admins only.

Insight

Reports

Can I get this in my inbox?

Where it comes from
Sixteen reports built from the same numbers as the pages.
What you do next
Download a spreadsheet, or schedule a report daily, weekly or monthly.
